These jobs need this vehicle class.
This run leaves at 6am.
This freight cannot travel with that freight.
This depot handles those postcodes.

Ask how the operation actually works, and the answer usually lives in the heads of the two or three people who have been there longest.

Paperwork systems vs operating systems

The first generation of transport software digitised documents - consignment notes, manifests, invoices.

Useful. But the software was a filing cabinet. The thinking still happened in people's heads.

A transport management system (TMS) for freight carriers can go further than the paperwork: it can capture the operating logic itself - the rules that decide how freight actually moves.

What machine-readable rules unlock

Once a rule is encoded, software can act on it.

Allocation stops being manual, because the system knows which runs take which freight.

Rating stops being guesswork, because the pricing rules apply themselves on every job.

Compliance stops being end-of-day admin, because the audit trail builds itself as the freight moves.

And when the rule-holders are on leave, the operation keeps running the way it should. The knowledge no longer walks out the door at 5pm.

Where to start

You don't encode a whole operation at once. Start with the rules everyone repeats out loud:

Which zones map to which runs.
Which customers have hard windows.
Which freight cannot mix.
Which cut-offs are real, and which are habit.

If a rule is stable enough that a new dispatcher has to memorise it, it is stable enough to encode.

For New Zealand operators, the question worth asking of any system - ours included - is simple: does it just record what your operation did, or does it know how your operation works?
